Magazine Printing File Preparation — PDF, Bleed, Colour, and Proofing
Magazine printing file preparation decides whether an issue prints as designed. At Longyin Druck every supplied file is checked and, where needed, corrected in our own Shenzhen prepress department before plates are made, so problems are found on screen rather than on paper.
What Does File Preparation Cover?
It covers everything between receiving artwork and making plates: bleed and safe margins verified, image resolution checked at final size, fonts embedded, colour space converted, page order and pagination confirmed, and the pages imposed into signatures. Where the artwork is not print ready, typesetting and page assembly can be handled as part of the production.
Which Format Should Magazine Artwork Be Supplied In?
A print-ready PDF is the safest handover: PDF/X-1a or PDF/X-4 with fonts embedded, one page per PDF page rather than spreads, and images placed at full resolution rather than linked from elsewhere. Native working files such as InDesign or Illustrator packages are also accepted, provided the links and fonts travel with them.
How Much Bleed and What Resolution Are Needed?
Artwork should extend about 3 mm beyond the trim on every outer edge, with text and key elements kept roughly 5 mm inside the trim as a safe margin. Photographs need about 300 dpi at final printed size, line art and logos about 1200 dpi. Images pulled from the web at screen resolution cannot be repaired later, so they are flagged at proof time and replaced.
Which Colour Settings Should Be Used?
Files should be supplied in CMYK, not RGB, because CMYK is the ink set the press actually mixes. Where a brand colour must hold exactly, a Pantone reference is carried through the run. Two details cause most of the damage on press: small black text should be 100% K rather than a rich black build, since four-colour registration shifts on thin type, and total ink coverage on dark areas is usually kept near 300% so the sheet dries without set-off.
What Does the Proofing Service Include?
Proofing has two stages. A soft proof confirms layout, pagination, and trim before anything is printed, and a printed proof on the final paper stock confirms colour, ink density, and paper tone. The buyer approves and signs one sheet; that signed proof then becomes the colour reference for the whole run. For the production stages either side of this step, see our offset magazine printing overview.
Can Typesetting Be Handled When There Is No Design?
Yes, as prepress production rather than creative work. Supplied text and images can be typeset into pages, artwork placed, signatures imposed, and file problems corrected, then returned as a proof for approval. Original creative design stays with the buyer’s own team or designer, which keeps editorial control where it belongs.
How Long Does Production and Shipping Take?
Production runs about 5-7 days for saddle-stitched issues, 8-10 days for perfect-bound orders under 10,000 copies, and 15-18 days for hardcover editions, counted from file confirmation. Because the clock only starts once files are approved, a file that needs rebuilding moves the whole schedule; shipping adds about 7-10 days by air or about 15-20 days by sea to nearby regions.
What Should You Send With Your Files?
Send the artwork together with the specification: trim size, page count, interior and cover stock, binding, finishing, number of versions, quantity, and destination. Useful extras are the font list, any Pantone references, the intended reading order, and the spine width expectation for a perfect-bound issue. A written quotation follows within 24 hours, and you can browse our magazine printing category for related formats.

Frequently Asked Questions (FAQ)
Q: What file format should I send for printing?
A: A print-ready PDF is safest: PDF/X-1a or PDF/X-4 with fonts embedded, one page per PDF page rather than spreads, and images at full resolution. Native InDesign or Illustrator packages are also accepted if the links and fonts travel with them.

Q: Should my files be RGB or CMYK?
A: Supply CMYK, because that is the ink set the press mixes. Pantone references are carried through where a brand colour must hold. Small black text should be 100% K rather than a rich black build, and total ink coverage near 300% avoids set-off.
Q: Do you check files before printing?
A: Yes. Bleed, resolution, fonts, colour space, page order, and pagination are checked, and the pages are imposed into signatures. If the artwork is not print ready, typesetting and file correction can be handled as part of production before plates are made.
Q: Can you typeset if we have no designer?
